Associates, Inc. will bring a professional collection presence to your office! Unlike typical third-party
collection services, R.M. Griffin & Associates, Inc., delivers our
service to you from within your own business office.
We are not a
"temp" service. We will visit your business office
on a regular schedule and will actively work your delinquent
accounts while we are there. You have the opportunity to monitor the
entire effort and to effectively influence how your accounts are
actually worked for collection.
We do not
accept money from your debtor! The only "remit to" address that your debtor is given is your address. This gives
you the immediate use of your money, accurate and up to the minute
payment and balance status of each debtor and further rebuilds and
strengthens your relationship with your debtor.
Debtor retention. Delinquency is often a result of temporary setbacks or unanticipated circumstances on the part of your
debtor. It is not always necessary that you lose your debtor due to their
account status. The debtor who is delinquent with your business today
may well be a good, profitable debtor for you in the future - your
collection effort should NOT be the reason they defect to your
competition! Our collection approach is designed to help restore debtor
relationships and salvage previously delinquent debtors whenever
possible.
"Gilt" by association. R.M. Griffin &
Associates, Inc. often represents the first real exposure your staff has to a
professional collection effort. Most people have a preconceived notion of
what a collector is like. At R.M. Griffin & Associates, Inc., we
take great pride in NOT "living-down" to that image. By
having our professional collector in-house, your staff will be exposed to
the right way to deal with delinquent accounts and will learn things
that they can use in their dealings with your debtors, thereby reducing
delinquency before the accounts age to the point of our involvement.
Ease of use. Inasmuch as we have a presence in your office,
there is no longer the need to report payments by telephone, copy
and mail information sheets from debtor files for account referral or
to inquire about account status. When we come into your office, we do all
the work!
Reporting. We have a comprehensive reporting system that will enable you to monitor the performance of our program. The
reports are designed to give you the information you need to
accurately measure our performance and not just the info we want you to
have. Custom reports can be designed to your specifications at no
additional expense to you.
No payment = No fee. Our fees are based strictly on performance. You pay only if we recover funds. There are NO
hidden set-up or administration fees.

Our MARC Program (Medical Accounts Receivable Control) is designed exclusively for the health care industry - giving us
a particular and unique understanding and sensitivity to the
expectations and demands of the medical community.
The collection effort takes place from within your own office!

services to the specific needs and requirements of each individual
practice or facility.

become the final step in your internal collection program.

What we do...
First, we evaluate your present billing and collection
processes. That will allow us recommend to you where the integration of
our services will have the optimum result. Our service can be
offered two ways; in-house, which most offices prefer, or off-site. In
those offices where space is available and our presence does not interfere
with office function, the most noted benefits are:
- immediate access to any information needed in the normal
course of talking with patients
- training opportunity for staff
- greater control for you in "managing" our
collection effort and approach
- decisions can be made immediately on sensitive or unusual
issues
R.M. Griffin &
Associates will maintain a much closer relationship with your office than a typical third party
agency would. We will become a resource for you and your staff in dealing
with collection issues, procedures, specific accounts and
collection law.
Initial contact with most patients is by mail. Our collection
letters are designed specifically for your office, to be the next
logical step in your process. I will submit to you drafts of the letters I
think will best conform to your practice philosophy and that will be a logical
progression of your billing process. Upon your approval, those
letters will be reviewed by our attorney to ensure compliance with all
state and federal laws regarding debt collection.
Much of the collection effort takes place from within your
office. You will know the quantity and quality of time being spent on
your delinquent accounts. Your staff will be exposed to a
professional collection effort. In many cases, medical office staff are not
properly trained in collections and, as a result, find it a distasteful
and unpleasant task...an attitude that can severely limit their
success. Learning the right way to do it will often improve employee
efficiency and actually reduce delinquency before accounts age to the
point of our involvement.
All administrative functions are handled off-site. Letter preparation, new account entry, etc., will all be invisible to
your office. The time spent in your office will be appropriate to your
needs. Typically, visits are scheduled to your office about every 2 -
3 weeks, depending upon volume.
We believe that most patients will fall into one of three categories:
Collectible - patients who are able to pay and just need a
"nudge" from us. We will collect from these patients.
Uncollectible - chronic delinquents who have no intention of paying. We will identity these patients as best we can and
suggest an appropriate course of action.
Indigent - patients who are unable to pay. No one's best
interest is served if a truly indigent patient is aggressively pursued
for payment. If, in the normal course of our contact with a
patient, we should determine that they have extenuating circumstances that
prevent them from paying, we will immediately bring this to
your attention. Write-off is not the only option with this type of
patient; alternative funding, suspense, etc..
